At Bircube, we value your privacy. Darzi Khatabook is a digital notebook and ERP app for tailor shops that helps you manage customers, measurements, orders, and receipts. This policy explains what information we collect, how we use it, and the choices you have.

We do not sell your personal information.

1. Information We Collect

Darzi Khatabook collects only what is needed to manage your tailor shop operations, enable offline functionality, and sync your data across devices.

a) Account Information

You create an account to use Darzi Khatabook.

  • Phone number or email address for authentication (via OTP or email/password)
  • Password (stored securely by our authentication provider, not in plain text)
  • A sign-in session stored on your device so you stay logged in

    • b) Shop Information

    During shop setup, you provide:

  • Business name
  • Shop logo (optional, uploaded to secure cloud storage)
  • Shop address and phone number (optional)
  • Default language preference (English or Urdu)

    • This information is used on your receipts and across the app interface.

    c) Business Data

    To run your tailor shop operations, the app stores:

  • Customer information: names, phone numbers, and optional notes
  • Measurements: body measurements for Gents and Ladies categories, with optional labels (e.g., "Formal", "Casual")
  • Orders: order dates, delivery dates, amounts, advance payments, balance, status (Pending, Cutting, Stitching, Ready, Delivered), and notes
  • Order history: audit trail of status changes with timestamps and the staff member who made the change
  • User accounts: owner and staff accounts with assigned roles and permissions

    • All business data is scoped to your shop and protected by access controls.

    d) Local Device Storage

    For offline functionality, the app maintains:

  • A local cache of your customers, measurements, and orders
  • A queue of pending changes made while offline, waiting to sync
  • Device preferences (language, last sync time)

    • Signing out clears the local cache. Cloud data remains available when you sign back in.

    e) Bluetooth Printer Connection

    If you use thermal receipt printing:

  • The app requests Bluetooth permission to discover and connect to paired printers
  • Printer connection details are stored locally on your device
  • We do not collect or transmit printer information to our servers
  • Receipt content (shop logo, customer data, order details) is sent directly to your printer and not stored elsewhere

    • 2. How We Use Your Information

    We use the information we collect to:

  • Authenticate you and maintain your account
  • Store and sync your shop data (customers, measurements, orders) across your devices
  • Enable offline functionality and queue changes when you have no internet connection
  • Print receipts with your shop branding
  • Enable multi-user access for owners and staff with appropriate permissions
  • Send you important service notifications (e.g., sync errors, account issues)
  • Provide customer support when you contact us

    • We do not use your data for advertising, marketing, or any purpose beyond operating the Darzi Khatabook service.

    3. Third-Party Services

    Darzi Khatabook uses trusted services to run the app. We do not use third-party advertising or analytics trackers, and there are no ads in the app.

  • Supabase — account authentication, shop data storage, real-time sync, and image storage (shop logos)
  • Cloud Storage — shop logos are stored in secure, access-controlled cloud storage buckets

    • These providers process data only as needed to provide their service, under their own privacy policies.

    4. Data Sharing and Disclosure

    We do not sell or share your personal information with third parties for their marketing purposes.

    We may share information only in these limited circumstances:

  • With your staff members: if you invite staff to your shop, they will have access to customer, measurement, and order data according to the permissions you set (staff cannot delete customers/orders or manage other staff accounts)
  • With service providers: as described in Section 3, to operate the infrastructure
  • For legal compliance: if required by law, regulation, legal process, or governmental request
  • To protect rights and safety: to protect the rights, property, or safety of Bircube, our users, or the public

    • 5. Data Security

    We use reasonable measures to protect your information, including:

  • Encrypted connections (TLS/SSL) for all data transmission
  • Row Level Security (RLS) on our database to ensure you can only access your shop's data
  • Access controls and role-based permissions for owner and staff accounts
  • Secure password storage (hashed and salted, never stored in plain text)
  • Regular security updates and monitoring

    • Local data (such as cached customers and pending changes) is stored on your device in a local database.

    No method of transmission or storage is completely secure. Please keep your account credentials private and only invite trusted staff members.

    6. Offline Functionality and Data Sync

    Darzi Khatabook is designed to work offline. When you have no internet connection:

  • All features remain available (add customers, record measurements, create orders, update status)
  • Changes are saved to a local queue on your device
  • The app will automatically sync when connectivity returns
  • You will see a sync indicator showing queued, syncing, synced, or failed states

    • Important: The cloud version (Supabase) is the source of truth. If the same record is changed on two devices while offline, the last change to sync wins. We recommend syncing regularly to avoid conflicts.

    7. User Roles and Permissions

    Darzi Khatabook supports two user roles per shop:

  • Owner: full access to all features, including shop settings, inviting/managing staff, deleting customers/orders, and viewing reports across all staff activity
  • Staff: can add/edit customers, measurements, and orders; can change order status and print receipts; cannot delete data or manage other users

    • Owners control who has access to the shop. You can remove staff access at any time from the Settings screen.

    8. Data Retention and Deletion

  • Active accounts: your data is retained as long as your account is active
  • Inactive accounts: if you do not sign in for an extended period (e.g., 12+ months), we may contact you before deleting your data
  • Account deletion: you can request full account deletion by contacting us at info@bircube.com. We will delete your account, shop data (customers, measurements, orders), and uploaded logos within 30 days. Some metadata may be retained for legal and accounting purposes.
  • Soft deletes: deleted customers and orders are marked as deleted (not permanently removed) to enable safe sync and conflict resolution. You can request permanent deletion by contacting us.

    • 9. Children's Privacy

    Darzi Khatabook is a business tool intended for adults and is not directed at children under 13. We do not knowingly collect personal information from children under 13.

    If you believe a child under 13 has created an account, please contact us and we will delete that information.

    10. Your Choices and Rights

    You have the following choices regarding your information:

  • Update your data: edit shop information, customer records, measurements, and orders at any time within the app
  • Export your data: contact us at info@bircube.com to request a copy of your data in a portable format
  • Delete your account: contact us at info@bircube.com to request full account deletion
  • Manage staff access: add or remove staff members from Settings
  • Change language: switch between English and Urdu at any time
  • Sign out: clear local cache on your device by signing out
  • Revoke Bluetooth permission: disable Bluetooth access in your device settings (printing features will not work without it)

    • Depending on your location, you may have additional rights under data protection laws (such as GDPR or CCPA). Contact us to exercise these rights.

    11. International Data Transfers

    Your data may be stored and processed in servers located outside of Pakistan, including in the United States and other countries where our service providers operate. By using Darzi Khatabook, you consent to the transfer of your information to these locations.

    We ensure that all service providers comply with applicable data protection laws and implement appropriate safeguards.

    12. Changes to This Policy

    We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or app features. If we make any major changes, we'll update the "Last Updated" date above and notify you through the app or via email.

    We encourage you to review this policy periodically.
